This privacy notice provides details about the information we collect when you use our website. In collecting this information, we are acting as a data controller and, by law, we are required to provide you with information about us, about why and how we use your data, and about the rights you have over your data.

How we use your information

When you use our website to browse our products and services and view related information, a number of cookies are used by us and by third parties. When submitting a general enquiry, we ask for your name, contact telephone number, and email address. This information helps us respond to your query and provide the requested information.

  • Retention: Enquiry data is deleted after two years unless linked to purchases such as membership, courses or events.

To set up an account, we require your name and email address. This ensures unique identification in our system.

When you enrol in a course or purchase a module, we collect additional personal data to ensure the provision of educational services:

  • Required Information: Full name, email address, home and correspondence address, contact phone number, and payment details.
  • Educational Details: For Level 7 and Level 9 modules delivered in partnership with ATU Sligo, we may also collect date of birth, gender, country of birth, nationality, PPSN, and HEA codes. This is required for compliance with Higher Education Authority reporting obligations.

Data Use:

  • To process your enrolment and provide access to course materials.
  • To fulfil regulatory reporting requirements.
  • To communicate with you regarding your course progress and results.

Data Storage and Security:

  • Personal data is stored in our CRM, Learning Management System, and HubSpot CRM (all within the EU).
  • PPSNs are encrypted immediately upon entry and are not visible to LIA during storage. Encrypted data is securely transferred to ATU Sligo and deleted from our servers after the term close-off.
  • Payment information is handled via Stripe, Payment details are processed via Stripe, certified as a PCI Service Provider Level 1, the highest level of certification in the payments industry.

Retention:

  • Educational history is retained indefinitely for academic record-keeping.
  • LIA does not retain your credit card details.

If you choose to sit an exam online, additional data collection is necessary:

  • Required Information: Name, email address, contact phone number, and biometric data (e.g., webcam recordings, ID verification).
  • Data Processors: Third-party invigilation (ProctorExam) and examination software (Speedwell) providers.

How Your Data Is Used:

  • To verify identity and maintain exam integrity.
  • To monitor the examination process via remote access to your device's camera and microphone.
  • To store and review exam recordings for appeals or auditing purposes.

Security Measures:

  • Data is processed under GDPR-compliant agreements, including Standard Contractual Clauses for data transfers outside the EU.

Retention:

  • Exam recordings are securely deleted after results are finalised and appeals periods have closed.

When you purchase membership from us online, we collect additional information to manage your account and provide member-specific services:

  • Required Information: Full name, email address, correspondence address, contact phone number, date of birth, and payment details.
  • Membership Preferences: You may select an LIA Region to stay informed about events and activities in your area, and indicate if you are a Tied Agent of an organisation to help us understand your professional status.

Data Use:

  • To process your membership and provide member benefits, such as access to events, qualifications, and CPD records.
  • To communicate updates, regional activities, details of upcoming events that might be of interest, CPD opportunities (if applicable) and membership renewals.

Data Storage and Security:

  • Information is stored in our CRM, Learning Management System, and HubSpot CRM (all within the EU).
  • Payment details are handled via Stripe, Payment details are processed via Stripe, certified as a PCI Service Provider Level 1, the highest level of certification in the payments industry.

Retention:

  • Membership data is retained for six years after your membership ends if you have no education or CPD history with us. If linked to educational services or CPD records, your data is kept indefinitely.
  • LIA does not retain your credit card details.

When you register for an event, either as a member or non-member, we collect the following information to process your registration and deliver event services:

  • Required Information: Name, email address, and payment details for ticket purchases.
  • Event Preferences: Dietary restrictions, accessibility requirements, or other relevant details (if applicable).

Data Use:

  • To process your registration and ensure smooth event organisation.
  • To communicate event details, updates, or changes.
  • To notify you about other LIA events taking place in the future that might be of interest to you.

Data Storage and Security:

  • Information is stored in our CRM, Learning Management System, and HubSpot CRM (all within the EU).
  • Payment details are processed via Stripe, certified as a PCI Service Provider Level 1, the highest level of certification in the payments industry.

Retention:

Data Use

If you provide details of the company you work with and that company has signed up for use of our Company Portal, certain personal information may be visible to the LIA Relationship Officer(s) within your organisation. This information is shared to facilitate your employer's compliance with the Central Bank of Ireland's Minimum Competency Code and includes:

  • Exam registrations and results.
  • Designation status.
  • Qualifications held.
  • Event registrations.
  • Continuing Professional Development (CPD) status.

Data Storage and Security

  • Information is stored in our CRM, Learning Management System, and HubSpot CRM (all within the EU).

We share your data only as necessary and with strict agreements to protect it. Examples include:

  • Course Partners: Sharing data for module delivery.
  • Your Employer: To meet regulatory requirements (e.g., compliance with the Central Bank of Ireland's Minimum Competency Code).
  • Service Providers: For secure payment processing and service delivery.
  • FPSB Ireland: if/when you are enrolled on the final/sixth module of LIA's Postgraduate Diploma in Business in Financial Planning we will share your name and email address with FPSB Ireland for the purpose of FPSB inviting you to the CFP examination.
  • Legal Obligations: As required by law or regulatory authorities.

Security Measures:

  • Data is always shared securely (VPN, encryption, secure cloud).
  • Any transfers outside the EU are always completed in compliance with the GDPR.

We use automated decision-making and profiling in several areas to enhance our services and provide personalised experiences. These include:

  • Improving Service Efficiency: Automating routine processes to respond to queries and requests faster.
  • Tailored Communications: Analysing user interactions, such as website visits and email engagement, to deliver relevant content and promotions.
  • Customer Support Prioritisation: Using data patterns to prioritise support requests and improve resolution times.

  • Course Recommendations: Using enrolment history and preferences to recommend relevant modules or exams.

Updates to this privacy policy

We review this policy at least annually to reflect changes in services, data use or changes in legislation. Updates will be highlighted on this page, and we will notify users via email or banners for significant changes.
